Finance & Funding Manager, Financial Control and Growth Funding
Mostly remote from Poland, with agreed hybrid work in Warsaw. Full-time commitment; Polish and English required. Employment contract: 12,600 to 16,800 PLN gross/month / B2B: 14,700 to 19,600 PLN net invoiced + VAT/month + performance bonus under agreed rules.
Take ownership of WAISME's financial control and the financial side of agency growth. You assess whether proposals and projects are profitable, whether the business can fund delivery and whether spending follows the approved plan. Reporting directly to the CEO, you combine controlling and cash management with hands-on experience obtaining and administering external funding.
Reporting: Directly to the CEO, with financial oversight independent of Operations and Sales
Responsibilities
- Build annual budgets, monthly forecasts and a weekly updated 13-week cash forecast; analyse scenarios and capital needs.
- Control receivables and payables, matching invoices to contracts and acceptance, monitoring due dates, arrears, deposits and liquidity risks.
- Evaluate proposals before submission and projects before launch, including agency fees, labour, contractors, licences, production, revision allowances and overheads.
- Provide documented financial approval within delegated authority, checking budget, contract or order, payment or approved credit risk, and funding timing.
- Withhold financial approval where data, margin, authority or liquidity are insufficient; recommend a solution or an explicit CEO exception.
- Track actual costs and variances; reassess scope changes, revisions, purchases and delayed receipts.
- Evaluate purchases, AI subscriptions, equipment, hiring and investment through total cost, alternatives, use, payback and cash impact; report recommendations to the CEO.
- Work with accounting and advisers to reconcile data, complete records, maintain cost centres and produce reliable management reports.
- Identify suitable national, EU and regional grants, loans, credit, leasing or other instruments for genuine agency projects.
- Prepare financial models, budgets and application financial sections; coordinate technical content, attachments, timelines, funder contact and any specialist adviser.
- Check applicant and cost eligibility, SME status, state aid and de minimis, own contribution, procurement, indicators and post-project duties against the relevant call documentation.
- Manage awarded funding through records, payment claims, reporting, corrections and reviews; evaluate a no-grant scenario rather than assuming an application guarantees cash.
- Provide weekly liquidity and risk updates and a monthly CEO pack covering results, margins, receivables, spending, purchases, investment and funding with decision recommendations.
Required qualifications
- At least 5 years in finance, controlling or FP&A, including 2 years independently managing budgets and cash or working as a Finance Manager or Finance Business Partner.
- Experience assessing proposals and project profitability in a services or project business, including full labour cost, capacity, revisions and contractors.
- Hands-on external-funding experience with substantial responsibility in at least one project that secured support and completed reporting appropriate to its stage. We will discuss your exact contribution.
- Independent budgeting, cash forecasting, project profit-and-loss and scenario modelling; understanding of margin, markup, profit and cash.
- Advanced Excel or Google Sheets, including assumptions, error checks, pivot tables, imports and reconciliations; confidence with accounting systems or ERP.
- Accounting and tax knowledge sufficient to work with advisers, assess VAT and domestic or international transaction risks, and recognise when specialist advice is needed.
- Ability to interpret support rules covering eligible costs, own contribution, state aid, SME and linked-enterprise status, procurement, indicators, double funding and reporting.
- Finance, accounting or economics education, or comparable knowledge demonstrated through practice. A certificate does not replace experience.
- Professional Polish for documents and recommendations, and English at B2 or above for funding documents, correspondence and conversations.
- Independent judgement, ability to challenge unprofitable or undocumented decisions, confidentiality and clear communication with non-financial colleagues.
Useful additional experience
- Agency, media, consultancy or software-house experience, including staff and contractor project costing.
- PARP, NCBR, BGK or regional funding experience, with verification of current call rules.
- Power Query, Power BI or equivalent reporting and reconciliation automation.
- ACCA, CIMA or postgraduate controlling, finance or funded-project qualifications.
- Secure AI-supported document work and analysis, with verified calculations and protected data.
Your first 90 days
- Days 1-30: reconcile data and authority, establish receivables and obligations registers, the first 13-week forecast and urgent risks.
- Days 31-60: introduce profitability models and financial approval of proposals and project starts, review purchases and subscriptions, and deliver the first management pack.
- Days 61-90: refresh the budget and growth-funding plan, shortlist suitable instruments and make evidenced apply-or-do-not-apply recommendations. A grant award within 90 days is not guaranteed or required.
What good performance looks like
Reconciled current data, forecast quality, margins, receivables control, authorised spending and a sound funding process. Funding outcomes are evaluated after own contribution, costs and risks; application volume is not a standalone target.
Authority and accountability
Financial approval covers profitability, budget and cash. Creative approves quality, Project Management confirms delivery readiness and the Agency Director owns execution. Finance reports directly to the CEO, who resolves documented exceptions. Payment preparation, approval of one's own spending and transfer authorisation must not sit with one person without independent checks. Banking powers, limits and representation are agreed separately; this role does not automatically appoint a board member or replace statutory accounting.
Application materials and assessment
CV and two examples: improving profitability or liquidity, and an external-funding project describing the instrument, your role and reporting stage without confidential details. Discuss a sample agency proposal, cash forecast and fictional funding call. Both languages will be assessed. Substantial test work requires separate agreement on payment and use.
