Agency Director, Head of Agency
Mostly remote from Poland, with agreed hybrid work in Warsaw. Full-time commitment; Polish and English required. Employment contract: 14,000 to 19,600 PLN gross/month / B2B: 16,100 to 22,400 PLN net invoiced + VAT/month + performance bonus under agreed rules.
WAISME combines communication strategy, creative work, content production and campaigns. We are looking for someone to take ownership of the agency's day-to-day management, team organisation, sales plan and operating performance. The CEO sets direction, approves the budget and advises on key decisions. You run the business within agreed authority limits.
Reporting: CEO
Responsibilities
- Translate CEO objectives into quarterly sales, delivery, hiring and capacity plans; run operations without requiring the owner to manage daily tasks.
- Own operating performance and plan delivery; work with the Finance & Funding Manager on margins, costs, receivables and forecasts.
- Lead project coordination, creative, sales and specialists through clear objectives, priorities, capacity planning, feedback and development.
- Oversee the sales pipeline and proposal quality; join key negotiations while respecting financial approval of prices and terms.
- Check delivery capacity before making commitments; resolve resource conflicts and set priorities across clients.
- Handle escalations, complaints and quality issues; maintain standards for client service, approvals and delivery.
- Develop services and AI-enabled workflows based on quality, costs and client needs; oversee secure use of tools.
- Provide a concise weekly update and monthly business review to the CEO; develop investment recommendations with Finance.
Required qualifications
- At least 6 years in a creative, digital, marketing or media agency, including 2 years leading a team or business function.
- Independent responsibility for a budget and business-unit performance, with examples showing your own decisions and their impact.
- Experience managing service delivery, specialists, contractors and several clients concurrently.
- Practical agency-services sales, pricing and negotiation experience; understanding of revenue, margin, profit and cash movements.
- Ability to delegate, define accountability and make decisions without continuous CEO direction.
- Professional Polish for management and negotiations, plus practical business English at B2 or above for meetings, proposals and problem-solving.
- Understanding of creative production, campaigns, analytics and AI, including quality, cost, risk and client-data handling.
Useful additional experience
- Scaling or improving operations in a boutique agency.
- Leading a remote team and international client projects.
- Implementing CRM, management reporting, automation or AI standards.
Your first 90 days
- Month one: review the portfolio, capacity and processes; agree a plan and decision limits.
- Month two: take over routine decisions and reporting, with sales commitments linked to delivery capacity.
- Month three: review margins and quality; recommend improvements and hiring based on evidence.
What good performance looks like
Operational independence, delivery against the approved plan, profitability, predictable service and client retention. Numerical targets will reflect verified starting data, rather than revenue growth alone.
